YOUR INFORMATION

Privacy & cookies

This notice explains how Therapeia handles information collected through therapeiawebdesign.com, our project inquiry form and our client portal. For privacy questions or requests, email contact@therapeiawebdesign.com.

Last updated: 24 October 2026.

Information you choose to share

When you send a project inquiry, we collect your name, email address, business or practice name, selected service and the message you provide. You may also provide a phone number and website address. We use this information to respond, understand your project and manage our working relationship.

Please keep website inquiries about your business and project. Do not include patient records, therapy notes, passwords or payment card details in the message field.

How inquiries are handled

Our own Therapeia Forms system saves the inquiry on the website and sends it to our project portal at portal.therapeiawebdesign.com. This allows us to keep track of your request and its delivery status. The form also records its submission time, language, time zone, originating page and your marketing choice.

Sending an inquiry does not automatically subscribe you to marketing. If you choose to receive optional updates, you can withdraw that choice by contacting us. Direct Slack, generic webhook and WordPress staff-email delivery from the form are currently disabled; inquiry delivery uses our own portal.

Essential storage and security

The website and its hosting and security services process technical information such as IP addresses, requested pages and browser information to deliver pages, diagnose faults and protect the site from abuse. The inquiry form uses session tokens, a hidden spam field and limits on repeated requests. Rate-limit identifiers are hashed.

The form’s essential session cookie, tpf_session, lasts up to two hours. A submission-status cookie, tpf_status, can last up to 24 hours. These support the form you choose to use. Cloudflare Turnstile is available in our form system but is not currently enabled.

Optional analytics and your choices

Optional analytics scripts stay off until you choose “Allow analytics.” They can include Google Analytics, Microsoft Clarity and Ahrefs. These services help explain page use, navigation and technical problems. Clarity can analyse interaction patterns and session activity. Google advertising consent remains denied by our website’s consent controls.

Choose “Reject optional” to use the site without these optional scripts. “Cookie settings,” available at the bottom of the page, lets you change your choice. We remember that choice in your browser’s local storage for up to 180 days. If you withdraw permission after allowing analytics, the page reloads to stop scripts that were already running and clears recognised first-party analytics cookies.

Clearing your browser’s stored site data removes the saved choice. Provider-controlled data and cookies may have separate lifetimes. See Google’s privacy policy, Microsoft’s privacy statement and Ahrefs’ privacy policy.

Live chat and external websites

Live chat is provided by Tawk.to. Its embed loads when you open Chat, or when you navigate while a chat window you opened remains active. Opening chat connects your browser to that provider. If you send a message, the provider processes the conversation and related technical information. Read Tawk.to’s privacy policy. You can email us instead.

Links to client websites, Trustpilot, platform providers and other resources take you to separately operated websites. Their privacy notices apply once you visit them.

Service providers and international processing

Our website hosting, security, email and portal infrastructure providers process information needed to run these services. Optional analytics and chat providers process information when you enable those features. Their infrastructure may process information outside your country. Contact us if you need details about a particular service or your inquiry’s handling.

How long information is kept

Inquiry records are currently kept in our website and portal systems until authorised staff remove them. Automatic time-based erasure is not enabled. Relevant records may need to be retained for an ongoing project, accounting requirements or a dispute. Contact us to request a review or deletion of your information; we will explain any applicable reason we need to retain it. Backups and service-provider logs can have separate retention schedules.

Your privacy requests

You can ask what personal information we hold about you, request a correction or deletion, and withdraw an optional marketing or analytics choice. Depending on the law that applies to you, you may also have rights to access, portability, restriction or objection, and to complain to your local data-protection authority.

Email contact@therapeiawebdesign.com with enough information for us to locate your inquiry. We may need to confirm your identity before releasing or changing personal information. Do not send identity documents unless we explain why they are necessary and provide an appropriate method.

Changes to this notice

We will update this page when the website’s data handling changes. The date above identifies the latest published version.
